Open Source Software for Small Business: Where It Works and Where It Doesn’t

Open source software powers most of the internet – Linux runs the majority of servers, WordPress powers 40%+ of websites, and tools like LibreOffice, GIMP, and VS Code are used by millions. But is open source right for your small business? Here’s an honest assessment.

Where Open Source Makes Sense

Operating Systems (Linux)

For servers and development workstations, Linux is often the best choice – free, secure, and highly customizable. For general business desktops, it works well for teams comfortable with it, though compatibility with some business software can be limited.

Web Infrastructure

WordPress (open source) powers your website. Apache or Nginx (open source) serves it. Let’s Encrypt (open source) provides your SSL certificate. The web runs on open source.

Development Tools

VS Code, Git, Docker, Kubernetes, Python, Node.js – the modern development stack is overwhelmingly open source. If you have developers, they’re already using it.

Productivity (With Caveats)

LibreOffice can replace Microsoft Office for basic document editing. But if your team collaborates heavily, needs advanced Excel features, or integrates with other Microsoft tools – Microsoft 365 is worth the subscription. We specialize in administering both Microsoft 365 and Google Workspace.

Where Open Source Falls Short for Business

  • No vendor support – When something breaks, there’s no one to call. Community forums aren’t SLAs.
  • Compatibility issues – Clients send you .docx files that don’t render perfectly in LibreOffice. Your accountant needs QuickBooks which is Windows/Mac only.
  • Training costs – If your team knows Microsoft Office, switching to LibreOffice has a real productivity cost during transition.
  • Integration gaps – Enterprise tools often integrate with Microsoft/Google ecosystems, not open source alternatives.
  • Security responsibility – With commercial software, the vendor patches vulnerabilities. With open source, you’re responsible for staying current.

The Practical Approach

Most small businesses benefit from a hybrid approach:

  • Microsoft 365 or Google Workspace for email and productivity (worth the cost)
  • Open source for web infrastructure and development tools
  • Commercial tools where they solve specific business problems
  • Open source alternatives where they’re genuinely equivalent and your team is comfortable

The goal isn’t “use open source everywhere” – it’s “use the right tool for each job.” Sometimes that’s open source, sometimes it’s commercial. What matters is that everything is managed, secured, and supported.
