That 7-year-old desktop in your office isn’t saving you money – it’s costing you in slow performance, security risk, and eventual catastrophic failure with no warning. Here’s how we handle hardware lifecycle so your team always has reliable equipment without surprise capital expenses.
When to Replace Hardware
Laptops: 4-5 Years
After 4 years, laptops show their age: slower boot times, degrading batteries, failing keyboards, screens dimming. By year 5, you’re spending more on the productivity loss than a replacement costs.
Desktops: 5-6 Years
Desktops last slightly longer (no battery, less physical stress) but components still degrade. HDDs fail, fans get loud, RAM becomes insufficient for modern software.
Network Equipment: 5-7 Years
Switches, access points, and firewalls need firmware updates. After end-of-life, no more security patches – which means known vulnerabilities with no fix.
Replace Immediately If:
- Boot time exceeds 3 minutes
- Applications freeze or crash regularly
- SMART data shows disk degradation
- Device is out of manufacturer warranty and support
- OS version can no longer receive security updates
- Device can’t run required software at acceptable speed
Our Hardware Process
Procurement
We source through Dell, Pax8, CDW, and other trusted vendors. Business-grade hardware (not consumer) with proper warranties. We standardize models across your organization – same machine, same specs, easier to support and replace.
Configuration
Every device ships pre-configured:
- OS installed and fully updated
- Enrolled in JumpCloud (identity/device management)
- Syncro agent deployed (RMM)
- Malwarebytes installed (EDR)
- CrashPlan configured (backup)
- Full disk encryption enabled
- Business applications installed
- WiFi profiles and printer drivers pushed
User opens the box, signs in, works. No IT setup day.
Lifecycle Tracking
We track every device: purchase date, warranty status, hardware health (via Syncro SMART monitoring), and planned replacement date. When a device is approaching end-of-life, we proactively recommend replacement before it fails.
Secure Disposal
When hardware is retired: full disk wipe (NIST 800-88 compliant), certificate of destruction if required for compliance, and proper e-waste recycling. No old hard drives with your data showing up at a recycler.
Adopt and Manage Existing Gear
Already have hardware? We don’t force you to buy new. We enroll your existing devices into our management stack and support them until they reach end-of-life. Then we help you plan a phased replacement that spreads cost over time.
