Here’s our actual onboarding process that gets people productive in hours, not days.
What Happens Before Day One
The moment you tell us “new hire starting Monday,” here’s what kicks off:
Identity and Accounts (JumpCloud + 365/Google)
- Create user in JumpCloud (our identity platform)
- Assign to appropriate groups (determines what they can access)
- Create Microsoft 365 or Google Workspace account
- Assign appropriate license tier
- Add to relevant Teams channels / Google Groups
- Add to distribution lists and shared mailboxes
- Configure email signature
- Set up shared calendar access
Device Preparation
- Laptop selected (or shipped if remote)
- OS installed and updated
- Enrolled in JumpCloud (device management, encryption enforced)
- Syncro agent installed (RMM – monitoring and remote support)
- Malwarebytes deployed (EDR – endpoint security)
- CrashPlan configured (backup)
- Business applications installed (Office, browser, Zoom/Teams, line-of-business software)
- VPN configured if needed
- Printer drivers installed
- WiFi profile pushed
Access Provisioning
- VoIP phone extension assigned (RingCentral / Teams Voice)
- Badge/physical access requested (coordinate with facilities)
- Line-of-business application accounts created
- Shared drive / SharePoint access granted
- MFA enrollment prepared (completes on first login)
Day One
- Employee opens laptop, signs in with their JumpCloud credentials
- Completes MFA enrollment (2 minutes)
- Everything is there – email, files, applications, phone, printer access
- We verify all systems are working
- Quick orientation: how to reach us for support, how to reset password, what to do if they suspect phishing
Total employee time on IT setup: 15 minutes. Total time unproductive due to IT: zero.
